Position: Front Office Coordinator

Salary: AED 13,000 – 15,000 (All-inclusive)
About the Role:
Our client, a prestigious international law firm, is seeking a professional and experienced Front Office Coordinator to be the welcoming face of their Dubai office. This role is ideal for a career receptionist who enjoys delivering exceptional client service while managing varied front desk and administrative responsibilities.
Key Responsibilities:

Operate and manage the main telephone switchboard; handle incoming calls with professionalism.

Take accurate messages and ensure timely delivery to relevant teams or individuals.

Monitor and respond to the firm’s voicemail system daily.

Manage meeting room bookings via Outlook and oversee room availability and readiness.

Maintain pantry supplies and ensure clients are greeted warmly and offered refreshments.

Keep the reception area tidy and presentable, including managing floral arrangements and reading materials.

Assist IT with audio-visual equipment setup and presentation uploads.

Update client records in CRM (Interaction) as needed.

Maintain an updated reception operations manual.

Handle courier bookings, scanning of documents, and file organization.

Provide occasional support to the Office Assistant and attend MOFA for document legalizations if required.

Assist with invoice postings and support the Business Operations Manager with ad hoc tasks.

Flexibility to work outside regular hours when necessary.
