Job Title: Document Controller / Administrative Support
Location: Dubai, UAE

We are seeking a detail-oriented Document Controller/Admin Support professional to help manage project documentation and provide essential administrative support to our project and design teams.
Key Responsibilities:
Document Control:

Organize and maintain both physical and electronic project files, including architectural drawings, contracts, meeting minutes, and correspondence.

Distribute project documents promptly to team members, clients, contractors, and consultants.

Manage and track document versions to ensure the latest revisions are used across teams.

Efficiently retrieve documents and project information for team members and stakeholders.

Archive completed project documentation securely for future reference and compliance.
Administrative Support:

Provide general administrative assistance such as scheduling meetings, coordinating logistics, and preparing presentations and reports.

Manage incoming and outgoing correspondence including emails and phone calls.

Assist in document preparation and formatting for meetings and client submissions.

Organize meetings, take minutes, and distribute notes to stakeholders.

Support procurement activities by tracking orders and maintaining inventory records.
Compliance and Quality Control:

Ensure all documents comply with company standards and procedures.

Maintain strict confidentiality and discretion in handling sensitive project information.
Required Qualifications:
-
Bachelor’s degree in Business Administration, Architecture, or related field.

Minimum 2 years’ experience in document control or administrative support, preferably in architecture, engineering, or construction industries.

Strong organizational skills and attention to detail.

Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and document management software such as Aconex or Procore.

Knowledge of document control procedures for both physical and electronic documents.

Excellent written and verbal communication skills in English; Arabic language skills are an advantage.

Ability to multitask and work efficiently in a fast-paced, deadline-driven environment.
Preferred Skills:

Experience in an architectural or design firm.

Familiarity with architectural terminology and project documentation.

Experience with online document management platforms such as SharePoint or Dropbox.
