Job Title: Executive Administrative Assistant to Managing Director 

Job Description:

We are looking for a proactive and detail-oriented Executive Administrative Assistant to support our Managing Director in day-to-day business operations. This high-impact role requires exceptional organizational skills, the ability to manage sensitive information with confidentiality, and the capability to function effectively in a dynamic, fast-paced environment.

You will serve as the right hand to the Managing Director, ensuring seamless coordination, communication, and execution of key tasks across various business functions.

Key Responsibilities:

Calendar & Meeting Coordination:

  • Manage the Managing Director’s calendar, schedule meetings, and organize appointments with precision and confidentiality.

  • Prepare meeting agendas, take minutes, and follow up on key action items.

  • Coordinate cross-functional internal and external meetings.

Communication & Liaison:

  • Screen and manage incoming communications, including calls, emails, and messages.

  • Serve as the primary point of contact between the Managing Director and clients, vendors, and internal teams.

  • Ensure all interactions are handled with professionalism and diplomacy.

Documentation & Reporting:

  • Prepare executive-level reports, presentations, and briefing documents.

  • Compile data from platforms like Orion for reports on sales performance, stock levels, and market analysis.

  • Conduct market research and generate competitor intelligence reports.

Administrative Operations:

  • Maintain organized records, confidential files, and sensitive documents.

  • Handle daily administrative tasks including expense reports, document filing, and internal coordination.

Event & Project Management:

  • Assist in organizing events, showroom visits, seasonal campaigns, product launches, and fashion exhibitions.

  • Oversee logistical arrangements and materials preparation.

  • Support performance audits across retail stores, e-commerce platforms, and social media channels.

  • Collaborate with store managers and department leads to validate operational data.

Required Skills & Qualifications:

  • Minimum 2 years of experience in executive or administrative support roles.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent English communication skills (verbal and written); Arabic is a strong advantage.

  • Ability to multitask, stay organized, and manage shifting priorities in a fast-paced environment.

  • High level of discretion and professionalism in handling confidential information.

Preferred Candidate Profile:

  • Experience: 1–10 years in a relevant administrative role

  • Residence: United Arab Emirates

  • Age Range: 18–35 years
