UAEN – Facilities Administrator
JLL Dubai , UAE

JLL is seeking a Facilities Administrator to join their team in Dubai, supporting the effective and efficient management of facilities services. This role is ideal for fresh graduates with a degree in Business Administration, HR, Marketing, or related fields. The Facilities Administrator will report to the Facilities Manager and be responsible for a range of duties, including overseeing building maintenance, managing internal moves, supporting events, and assisting with compliance with health and safety standards.

Key Responsibilities:

  • Conduct weekly building inspections to assess maintenance needs and record findings.

  • Collaborate with the Facilities Manager and Moves and Changes team to address internal space requirements and organize team moves.

  • Monitor stock levels of stationery and consumables, placing orders with suppliers.

  • Assist with internal moves within the building and maintain floor plans.

  • Support in-house and external events when required.

  • Work with the Building Operations team to report defective health and safety equipment and arrange for repairs.

  • Provide support to the Office Service Coordinator in vendor management and soft service support.

  • Manage fire wardens and first aiders, schedule training, and assist with refresher training.

  • Review and maintain manuals, handbooks, and guidance notes.

  • Provide receptionist coverage when required.

  • Manage daily mail room operations, including deliveries and enquiries, and ensure stock levels for mail-related supplies.

Skills and Competencies:

  • Proactive and hands-on attitude with the ability to support team members.

  • Knowledge of facilities management processes is preferable.

  • Strong IT skills, including Outlook, Excel, and Word.

  • Professional, friendly, and welcoming demeanor.

  • Excellent attention to detail and organizational skills.

  • Strong initiative and ability to manage a busy workload.

  • Excellent communication skills and a customer service background.

Qualifications:

  • A degree in Business Administration, HR, Marketing, or a related field would be beneficial.

  • A technical facilities management background is preferred.
