The Naked Headhunter is recruiting a highly skilled Personal Assistant to provide top-tier executive support to the Executive Director of a diversified multi-business holding company with interests primarily in real estate and hospitality. The role demands exceptional organizational skills, utmost discretion, and the capacity to manage a fast-paced schedule spanning multiple jurisdictions and time zones.
Key Responsibilities:

Manage a dynamic and complex calendar for the Executive Director across multiple time zones.

Coordinate meetings, calls, and events, including preparation of briefing materials, agendas, and follow-ups.

Handle confidential communications professionally and discreetly.

Filter and prioritize incoming requests to maximize the Executive’s productivity.

Collaborate with Personal Assistants and teams located in Dubai, India, and London.
Corporate Administration:
-
Maintain comprehensive registers of personal and corporate entities and structures globally.

Organize and track all corporate paperwork necessary for the Executive Director’s activities.

Liaise with service providers for company formation and documentation in the UAE and internationally.

Manage documentation for banking compliance, account openings, and ongoing requirements globally.
Travel, Events & Functions:

Arrange complex international and domestic travel including flights, private charters, visas, accommodation, and detailed itineraries.

Assist with visa applications and passport renewals for multiple destinations including US and Schengen.

Utilize AI tools for travel planning efficiency and itinerary optimization.

Organize high-profile corporate and hospitality events, including investor meetings and VIP functions.
Operational & Administrative:

Maintain accurate digital and physical filing systems for corporate and project documents.

Monitor project deadlines, deliverables, and follow-ups.

Use AI platforms to take and summarize meeting notes and streamline communication workflows.

Ensure timely and proactive communication using digital tools and mobile devices.
Essential Skills & Experience:

Proven experience supporting C-suite executives or business owners in fast-paced environments.

Deep understanding of corporate structures, compliance, and banking documentation requirements globally.

Exceptional organizational, multitasking, and prioritization skills.

High level of discretion, confidentiality, and loyalty.

Fluent English communication skills, both written and spoken, ideally at native proficiency.

Proficient with MS Office, Google Workspace, project management software, and AI productivity tools.
