Payroll Specialist – Freelance, Remote

Magic is seeking a detail-oriented Payroll Specialist (Freelance, Remote) to support payroll operations for a fast-growing U.S.-based hospitality staffing platform. The company connects restaurants, hotels, and catering/event teams with vetted professionals through a tech-enabled platform, delivering reliable staffing solutions across multiple U.S. cities.

The Payroll Specialist will play a vital role in ensuring accurate, timely, and compliant payroll processing for a high-volume, shift-based workforce. This includes handling complex adjustments, reimbursements, and compliance-related payroll tasks, while maintaining confidentiality and data integrity.

Key Responsibilities:

  • Process on-cycle and off-cycle payroll with accuracy and compliance.

  • Calculate payroll adjustments, including gross-to-net impacts, tips, and reimbursements.

  • Validate and reconcile changes in payroll platforms prior to closing.

  • Investigate and resolve W-2 suspensions, mismatches, and payroll discrepancies.

  • Handle employment verification requests with confidentiality and efficiency.

  • Maintain organized digital records while ensuring compliance with PII handling.

  • Collaborate with cross-functional teams via Slack and suggest process improvements.

  • Document payroll resolutions and create clear audit trails.

Skills, Knowledge, and Expertise:

  • 2+ years of U.S. payroll processing experience, preferably in high-volume/hourly environments.

  • Hands-on experience with the company’s payroll platform (mandatory).

  • Strong knowledge of W-2s, taxable vs. non-taxable reimbursements, and payroll compliance rules.

  • Proficiency in payroll systems and Excel (data validation, reconciliations, lookups).

  • Excellent problem-solving and analytical skills with attention to detail.

  • Strong communication skills in a remote setting, with professionalism and clarity.

  • High integrity and discretion when handling sensitive information.

Work Setup & Requirements:

  • Remote position, working 40 hours per week (8:00 AM – 4:00 PM PT, Monday–Friday).

  • Compensation: $7 per hour (no benefits).

  • Must have:

    • Computer with minimum 8GB RAM and Intel i5/AMD Ryzen 5 processor or higher.

    • Internet speed of at least 40MBPS.

    • Headset with noise cancellation and webcam.

    • Backup computer and internet connection.

    • Quiet and dedicated home workspace.
