Role Overview:
The Customer Service Specialist will serve as the front-of-house representative, supporting patients, doctors, and staff. This full-time role is pivotal in creating a positive first impression, managing appointments, handling inquiries, and maintaining smooth reception operations. Candidates will undergo a one-month induction followed by monthly reviews and a six-month probation period.
Key Responsibilities:

Greet and orient patients, providing a professional first impression.

Answer phone calls, emails, WhatsApp messages, and website inquiries promptly.

Book, schedule, and maintain patient appointments according to doctors’ availability.

Collect and verify patient information, ensuring accurate records in clinical and administrative software.

Follow up with post-surgery patients in collaboration with nurses.

Manage patient files, scanning and updating treatment plans, reports, and confidentiality forms.

Encourage satisfied patients to provide online reviews and recommendations.

Handle insurance requirements, billing, payments, invoices, petty cash, and XERO input.

Resolve complaints and deal with complex patient enquiries.

Maintain reception area cleanliness and ensure clinic hygiene standards are upheld.

Participate in daily morning huddles and support the team in achieving KPIs.

Assist in transitioning the clinic to a paperless environment.
Skills & Qualifications:

Previous front-of-house experience, preferably in dental or medical settings.

High-level customer service and interpersonal skills.

Experience working in the UAE healthcare sector.

Fluent in English; attested degree certificates required.

Confident, proactive, flexible, and organized.

Strong skills in sales, negotiation, problem-solving, and conflict resolution.
