Assistant Facilities Manager

Job Summary:

As an Assistant Facilities Manager, you will support the Facilities Manager by overseeing daily soft service operations at the site. You will coordinate reception, cleaning, waste, and office support services while ensuring service levels, safety compliance, and vendor performance are maintained to the highest standard.


Key Responsibilities:

  • Manage soft service operations including reception, mail, cleaning, waste management, vending, and food services

  • Monitor office equipment, maintain supplies, and ensure smooth day-to-day operations

  • Liaise with vendors and contractors, including regular meetings and reporting

  • Conduct weekly inspections with cleaning vendor to ensure quality standards

  • Oversee helpdesk requests (Trouble Ticket Remedy system) and resolve queries in a timely manner

  • Maintain health & safety protocols, coordinate fire drills and training sessions

  • Support corporate travel arrangements and liaise with local hotel partners

  • Assist in organizing internal and external company events

  • Manage quality control of conferencing facilities and kitchen services

  • Maintain communication platforms (Wiki pages, internal comms)

  • Raise purchase orders and manage procurement for the site

  • Provide backup support for Building Operations Engineer and Facilities Manager as needed


Required Qualifications:

  • Diploma or degree in facilities management, hospitality, or related field

  • Previous experience in facilities/office coordination, especially in a corporate setting

  • Experience in reception, hospitality, or soft services management

  • Strong interpersonal, communication, and problem-solving skills

  • Proficient in Microsoft Office (Excel, Word)

  • Customer-focused with strong attention to detail

  • Assertive and capable of making informed decisions
