Job Title: Administrative Assistant

Key Responsibilities:

Office Management:

  • Maintain office supplies, equipment, and inventory.

  • Ensure an organized and functional office environment.

Administrative Support:

  • Assist with scheduling, calendar management, and meeting coordination.

  • Prepare and edit documents, reports, and presentations.

  • Handle correspondence, emails, and phone calls.

Client & Vendor Communication:

  • Act as a primary point of contact for clients and vendors.

  • Assist in onboarding new clients and managing vendor relationships.

Project Coordination:

  • Support project managers with administrative tasks for digital signage installations or campaigns.

  • Track project timelines and deliverables.

Data Management:

  • Maintain and update company databases, CRM systems, and filing systems.

  • Ensure data accuracy and confidentiality.

Event Coordination:

  • Assist in organizing company events, meetings, or trade shows.

Financial Administration:

  • Assist with invoicing, expense reports, and budget tracking.

Requirements:

Education:

  • High school diploma or equivalent (required).

  • Associate’s or Bachelor’s degree in Business Administration or a related field (preferred).

Experience:

  • 1-3 years of experience in an administrative role.

  • Experience in digital signage, advertising, or the tech industry (a plus).

Technical Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Familiarity with project management tools and CRM software.

  • Basic understanding of digital signage technology (an advantage).

Soft Skills:

  • Strong organizational and time-management abilities.

  • Excellent written and verbal communication skills.

  • Attention to detail and problem-solving capabilities.

  • Ability to multitask in a fast-paced environment.

Other Requirements:

  • Ability to maintain confidentiality and handle sensitive information.

  • Strong interpersonal skills and a team player attitude.

  • Willingness to learn and adapt to new technologies.

Preferred Qualifications:

  • Knowledge of digital marketing or advertising concepts.

  • Experience with graphic design tools (e.g., Adobe Creative Suite) (a plus).

  • Multilingual abilities (if applicable to the company’s client base).
