Job Title: Assistant Buyer & Administrative Coordinator
Job Description:
We are looking for a highly organized and detail-oriented Assistant Buyer & Administrative Coordinator to support our buying team in daily operations. This role ensures seamless coordination between suppliers, internal teams, and retail stores by managing purchase orders, inventory tracking, and sales reporting. The ideal candidate will play a key role in maintaining product availability, assisting in product selection, and optimizing buying processes in alignment with business objectives.
Key Responsibilities:
Administrative Support:

Create and manage purchase orders (POs) with accurate pricing, quantities, and delivery details.

Maintain and update product data, SKU information, and supplier records.

Track order confirmations, shipment schedules, and deliveries to ensure timely availability of products.

Organize and document product samples efficiently.
Buying Operations:

Assist in sales and stock analysis to support reorders and markdown strategies.

Help prepare for buying meetings, seasonal range planning, and product selection.

Collaborate with suppliers to collect product information, imagery, and samples.

Track product launches, price adjustments, and markdowns to optimize inventory management.
Communication & Coordination:

Work closely with suppliers, logistics, finance, and retail teams to streamline order processing and deliveries.

Provide product details to visual merchandising and marketing teams for campaigns and promotions.

Keep retail stores informed about product availability and delivery updates.
General Duties:

Maintain accurate records of invoices, purchase orders, and supplier communications.

Ensure inventory accuracy through system updates and stock checks.

Support new brand onboarding, events, and promotional activities.
Key Skills & Qualifications:
✔ 2+ years of experience in retail buying, inventory management, or administrative roles (fashion & lifestyle preferred).
✔ Strong analytical and problem-solving skills with a commercial mindset.
✔ Proficiency in Microsoft Office (Excel, Word, PowerPoint) and retail management systems.
✔ Excellent time management and organizational abilities.
✔ Effective communication and interpersonal skills for supplier and team coordination.
✔ Passion for fashion and retail operations with a keen eye for trends.
