Workplace FM Coordinator
CBRE Excellerate Dubai , UAE

CBRE Excellerate is seeking a proactive and dynamic Workplace FM Coordinator to join its Facilities Management (FM) team in Dubai. This role is key to ensuring an exceptional workplace experience by managing daily operations, supporting employees, and coordinating Integrated Facilities Management (IFM) services. The ideal candidate will demonstrate strong organizational skills, attention to detail, and a customer-first mindset, contributing to a positive and efficient workplace environment.

Key Responsibilities:

  • Provide mailroom support including handling incoming and outgoing mail, courier services, and urgent deliveries.

  • Manage storage locations, ensuring items are organized and accessible.

  • Support the Client’s Security team with lost and found services, maintaining accurate records and timely returns.

  • Oversee on-loan items, gifting, and gift relinquishment processes with accurate documentation.

  • Manage receiving, inspecting, and recording deliveries for domestic and international departments.

  • Distribute office supplies and stock meeting rooms, kitchens, and work areas.

  • Act as the main point of contact for in-office enquiries and support through “Admin on Call” and ticketing systems.

  • Assist with onboarding/offboarding processes, events, conferences, and employee engagement activities.

  • Manage parking and locker systems effectively.

  • Raise purchase requisitions, track finances, and support budget management.

  • Conduct daily walkthroughs, record observations, and prepare monthly site reports.

  • Collaborate with IT, Admin, cleaning, and other departments to ensure a high-quality workplace environment.

  • Manage vendor relations, ensuring compliance and service quality.

  • Champion CBRE’s core values while delivering exceptional customer service.

  • Provide coverage and support for colleagues as needed.

Qualifications & Requirements:

  • Prior experience in facilities management, workplace coordination, or administrative support preferred.

  • Strong organizational and communication skills with the ability to multitask.

  • Proactive, detail-oriented, and customer-focused mindset.

  • Familiarity with vendor management, financial tracking, and reporting is an advantage.

  • Ability to collaborate across multiple departments and adapt in a fast-paced environment.
