Workplace FM Coordinator | Dubai

CBRE Excellerate is seeking a Workplace FM Coordinator to join their Facilities Management team. The role focuses on delivering an outstanding workplace experience through proactive support, coordination, and operational excellence across office facilities. This includes managing mailroom services, inventory, gifting, on-boarding, office events, vendor relationships, and general administration.

Key Responsibilities:

  • Support mailroom operations, including incoming/outgoing mail and courier services.

  • Maintain organized storage locations and manage on-loan items for employees.

  • Manage gifting and gift relinquishment, ensuring accurate records.

  • Handle receiving, inspection, warehousing, and distribution of office supplies and peripheral products.

  • Stock meeting rooms, pantries, kitchens, washrooms, and open desk areas as per requirements.

  • Order and manage office supplies, copy points, and other administrative needs.

  • Act as point of contact for general in-office inquiries and support “Admin on Call” and ticketing system.

  • Assist in events, team building, conferences, and social announcements.

  • Support employee on-boarding/off-boarding, including delivery of hardware, gifts, and starter packs.

  • Manage parking and locker systems.

  • Raise purchase requisitions (PRs), track budgets, and submit purchase orders to vendors.

  • Conduct floor walks, observations, and report findings to the Contract Manager.

  • Collaborate with IT, Admin, cleaning, and other departments to maintain a high-quality workplace environment.

  • Champion CBRE’s core values and drive customer satisfaction.

Skills & Requirements:

  • Proven experience in facilities management, administration, or workplace coordination.

  • Strong organizational, reporting, and documentation skills.

  • Excellent communication and interpersonal abilities.

  • Proactive, detail-oriented, and customer-focused mindset.

  • Ability to multitask and work in a fast-paced office environment.

  • Familiarity with vendor management, procurement, and office operations systems.
