Job Title: Office Manager 

Job Description:

We are seeking a highly organized, proactive, and detail-oriented Office Manager to oversee the daily administrative and operational functions of our office. Reporting directly to the CEO, this role is essential in ensuring a productive and professional work environment. The ideal candidate is a confident communicator, multitasker, and problem-solver with a strong background in office management and administrative support.

Key Responsibilities:

  • Manage daily office operations to ensure a smooth workflow

  • Maintain inventory and order office supplies as needed

  • Handle incoming calls and provide professional communication

  • Deliver or collect essential documents and materials from clients or contractors

  • Receive mail and maintain proper documentation

  • Schedule meetings and appointments; prepare agendas and minutes

  • Assist in generating regular reports and documentation

  • Develop and maintain efficient filing and record-keeping systems

  • Welcome visitors and provide general administrative support

  • Plan and coordinate internal and external events such as meetings, celebrations, and conferences

  • Oversee maintenance and repair of office equipment and liaise with vendors

  • Manage office budget, monitor expenditures, and ensure cost-effective practices

  • Ensure the office complies with health, safety, and regulatory standards

  • Support the Director with employee onboarding and offboarding

  • Coordinate services such as cleaning, catering, and security

Skills & Requirements:

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant

  • Strong understanding of office systems, procedures, and tools

  • Proficient in Microsoft Office Suite (especially Excel and Outlook)

  • Excellent time management, organizational, and problem-solving skills

  • Strong verbal and written communication abilities

  • Ability to multitask and prioritize in a dynamic work environment

  • A proactive and creative approach to workplace improvements

  • Minimum education: High school diploma; Bachelor’s degree or diploma in Administration is a plus

  • Minimum 2 years of experience in office administration

  • Female candidates residing in the UAE are preferred
