XBD Collective is seeking a professional and proactive Receptionist to serve as the first point of contact for visitors, clients, and employees. The ideal candidate will be responsible for managing front desk operations, maintaining a welcoming environment, and providing essential administrative support to ensure smooth office functioning.

This role requires excellent communication skills, attention to detail, and the ability to multitask in a fast-paced, design-oriented environment. The Receptionist will play a key role in supporting internal teams and enhancing the client experience.

Key Responsibilities:

Front Desk Management:

  • Greet visitors and clients in a warm, professional manner.

  • Manage and direct incoming phone calls efficiently.

  • Handle general inquiries and direct them to appropriate departments.

Administrative Support:

  • Maintain visitor logs and manage visitor badges.

  • Receive, sort, and distribute mail and packages.

  • Schedule client meetings and manage valet service information.

  • Prepare materials for meetings (e.g., portfolios, budget sheets, animation videos).

  • Set up virtual meetings via Zoom or Microsoft Teams.

New Leads Engagement:

  • Engage with new clients to gather project requirements and timelines.

  • Ensure all relevant information is communicated to the internal team.

Communication & Office Coordination:

  • Act as the central contact for front desk operations and departmental communications.

  • Route emails to the appropriate departments.

  • Manage inventory and ordering of office supplies.

  • Coordinate with vendors for office-related needs.

  • Ensure meeting room technology (laptops, iPads) is functional and ready for use.

Driver Schedule Management:

  • Manage the schedule of the company driver.

  • Assist the PA to the founder in organizing the personal driver’s schedule.

Qualifications:

Education:

  • Required: High school diploma or equivalent.

  • Preferred: Certificate or diploma in Office Administration, Customer Service, or related field.

Experience:

  • Minimum of 1–2 years in a receptionist, front desk, or customer service role.
