Job Title: Logistics & Order Coordination Executive 

Job Description:

We are seeking an organized, detail-oriented, and proactive Logistics & Order Coordination Executive to oversee the complete order-to-delivery process, ensuring timely and efficient operations. This role requires excellent coordination, communication, and problem-solving skills to manage orders, shipments, and customer relations effectively.

You will be the bridge between customers, sales teams, purchasing, production, warehouses, and shipping partners, ensuring smooth workflows and meeting delivery commitments while maintaining high standards of service.

Key Responsibilities:

  • Receive orders and sales contracts from customers, ensuring purchase orders are forwarded to production/purchasing teams promptly

  • Coordinate and follow up with sales, purchasing, production, and internal/external stakeholders to ensure operational efficiency

  • Develop shipment plans and coordinate with purchasers for timely delivery to warehouses in the Middle East

  • Contact freight forwarders in advance to arrange vehicle booking, warehouse reservations, container hauling, and customs declarations

  • Prepare shipping labels and related documentation, instructing warehouses to prepare goods as per the shipping schedule

  • Assist with purchase order execution, monitor delivery status, and ensure deadlines are met

  • Handle customer complaints and quality issues via email, and communicate requirements to sourcing teams and suppliers

  • Compare costs of shipping and container companies, prepare customs documentation, packing lists, and invoices for finance to process tax refunds and audits

  • Stay updated on customs policies and export warehouse regulations

  • Maintain regular communication with customers to strengthen business relationships and conduct occasional visits

  • Prepare and maintain weekly, monthly, and annual shipment statistics

  • Operate the ERP system throughout the order management process

  • Provide reports and perform additional duties as assigned by supervisors and the GM

Skills & Qualifications:

  • Bachelor’s degree or higher diploma (Graduates/Undergraduates with 4–5 years of related experience will be considered)

  • Merchandising background preferred

  • 2–5 years of relevant work experience

  • Strong communication skills in English (French is a plus)

  • Proficient in Microsoft Word, Excel, PowerPoint, and Outlook

  • Ability to work under pressure and adapt to fast-changing environments

  • Strong analytical, problem-solving, and planning skills

  • Long-term commitment to the company

  • Excellent attention to detail and ability to work with numbers accurately
