Junior Executive Assistant

Equiti Group, a leading fintech firm providing multi-asset financial services across Europe, the Middle East, and Africa, is looking for a Junior Executive Assistant to support its GROUP CEO in Dubai. This role offers a dynamic opportunity for a detail-oriented professional to contribute to the success of a global company by managing executive operations, calendar coordination, travel logistics, and high-level communications. The Junior Executive Assistant will also provide personal support and manage board meeting arrangements, helping ensure smooth organizational functioning.

Key Responsibilities:

  • Manage and coordinate the GROUP CEO’s calendar, including scheduling appointments, meetings, and travel.

  • Organize internal and external meetings, ensuring all logistics such as venue, equipment, and agendas are arranged.

  • Provide administrative support including drafting correspondence, reports, and presentations.

  • Handle travel arrangements and expense reporting, including flights, accommodation, and visas.

  • Monitor incoming communications (calls, emails, visitors) and respond or redirect as appropriate.

  • Provide secretarial support for meetings: prepare agendas, take minutes, and distribute action points.

  • Draft high-quality documents and reports on behalf of the CEO.

  • Coordinate leadership and board meetings, acting as the Board Secretary.

  • Communicate company-wide updates and ensure timely follow-up on action items from strategic meetings.

  • Exceptional organizational and planning skills, with the ability to prioritize effectively.

  • High attention to detail, even under pressure.

  • Strong communication and interpersonal skills.

  • Professional judgment, initiative, and problem-solving ability.

  • Ability to maintain confidentiality and demonstrate high levels of professionalism.

  • Fluent in English (spoken and written).

  • Proficiency in Microsoft Office; knowledge of design tools (Photoshop, InDesign) is a plus.

Experience Requirements:

  • Bachelor’s degree in Business Administration, Management, or a related field.

  • Minimum of 2 years’ experience in a similar Executive Assistant or Personal Assistant role.
