Job Title: International Private Assistant 

Job Description:

We are seeking an exceptional and experienced Private Assistant to support an Ultra-High-Net-Worth (UHNW) couple with an international lifestyle. This is a multifaceted role combining global travel coordination, lifestyle management, administrative operations, and high-level discretion. Based in Dubai or Singapore, the role includes extensive travel across the Americas, Europe, Middle East, and Asia.

Key Responsibilities:

Travel Coordination

  • Plan and manage global travel logistics (commercial/private flights, hotels, visas, and ground transport)

  • Create detailed, regionally synchronized itineraries across multiple time zones

  • Coordinate directly with airlines, concierge services, and hospitality providers

  • Ensure all documentation (passports, visas, insurance, vaccinations) is current

Lifestyle & Daily Logistics

  • Schedule dining, wellness, cultural experiences, and personal errands

  • Liaise with hotels, restaurants, drivers, and local contacts for smooth execution

  • Oversee day-to-day planning, making real-time adjustments as needed

Administrative & Household Support

  • Coordinate with household staff to manage daily operations

  • Oversee external service providers, contractors, and vendors

  • Track and renew service contracts (AMCs), manage vendor quality control

HR & Staff Administration

  • Maintain HR records for household staff (rosters, leave, health insurance, visas)

  • Liaise with HR and legal teams for all visa/employment matters

Expense Management & Financial Reporting

  • Monitor budgets during travel; ensure cost-effective decisions

  • Track and reconcile all travel and household expenses

  • Prepare organized reports and maintain financial records

Technology Support

  • Set up and troubleshoot iOS, Android, Wi-Fi, Apple TV, and smart devices

  • Ensure connectivity and tech readiness during travel and residence stays

Business & Event Support

  • Organize and oversee business meetings, private events, and formal engagements

  • Manage timing, transitions, and discreet coordination at all locations

  • Capture high-quality travel/event photos and maintain digital records

Project & Ad Hoc Duties

  • Oversee special projects (home renovations, luxury purchases, research tasks)

  • Execute personal and professional tasks with confidentiality and precision

Problem-Solving & Discretion

  • Handle last-minute changes and disruptions with professionalism

  • Anticipate needs and implement proactive solutions

  • Always maintain backup plans and contingency workflows

Requirements:

  • Minimum 3+ years of experience in a similar role with UHNW individuals or C-suite executives

  • Proven track record managing complex international travel and lifestyle logistics

  • Fluent in English (spoken and written); additional languages are a plus

  • Tech-savvy with smartphones, tablets, Apple/Android systems, and Wi-Fi troubleshooting

  • Valid passport with broad visa-free or eVisa access

  • Calm under pressure, highly adaptable, and naturally solutions-driven
