Intellectual Property Administrator

CWB Limited is a leading IP service provider in the region, offering expert support across patent and trademark management. We’re looking for an experienced Intellectual Property Administrator to join our growing UAE team and manage online filings, IP records, deadlines, and document handling with precision and professionalism.


Job Overview:

As an IP Administrator, you’ll be responsible for managing patent and trademark filings, renewals, recordals, oppositions, and ministerial submissions through UAE’s Trade Mark Office online systems. Your role will ensure regulatory compliance and high standards of accuracy across all intellectual property processes.


Key Responsibilities:

1. IP Filing & Portfolio Management

  • File and manage UAE trademark and patent applications, renewals, assignments, and amendments.

  • Monitor application statuses, respond to official actions, and track deadlines.

  • Conduct trademark availability searches and liaise with stakeholders for filings.

  • Maintain accurate IP portfolios in compliance with UAE regulations.

2. Docketing & Data Management

  • Manage IP deadlines and updates through internal IP docketing systems.

  • Perform accurate data entry in internal databases and IP management platforms.

  • Generate reports on filings, deadlines, and portfolio status as required.

3. Documentation & Courier Coordination

  • Prepare and track physical and electronic documents sent to/from clients and agents.

  • Ensure secure and timely delivery of IP-related documents.

  • Archive and organize files for easy retrieval and regulatory compliance.

4. Ministry Communication & Compliance

  • Liaise with the UAE Ministry’s IP Department for updates and procedural guidance.

  • Ensure all filings are compliant with local laws and regulations.

  • Track legal and procedural changes impacting IP workflows.

5. Expense Management (ERP – D365)

  • Record expenses related to IP tasks and maintain accuracy within D365 ERP.

6. Administrative Support & Errands

  • Perform in-office admin duties and handle occasional government office visits.

  • Deliver and collect official documents, licenses, and certificates.


Required Qualifications:

  • Experience:

    • 3+ years in an administrative role within an IP law firm or corporate IP department.

    • Prior use of UAE Trade Mark Office’s online platform is a strong advantage.

  • Education:

    • Diploma or Bachelor’s degree in Business Administration or a related field.

  • Language:

    • Fluent in English and Arabic, including technical Arabic for government portals.

  • Software Proficiency:

    • Microsoft Office (Word, Excel, Outlook).

    • IP Management Software (e.g., FoundationIP, Anaqua, or similar).

    • ERP systems like Microsoft Dynamics 365 is a plus.

  • Skills:

    • Strong multitasking and time management skills.

    • High attention to detail and accuracy in data/document handling.

    • Proactive and reliable with excellent communication skills.
