Job Title: Executive Assistant to Director
Job Description:
Our client is a prominent player in the midstream and downstream sector, operating over 2.8 million barrels of storage capacity for renewable fuels, crude oil, petroleum products, chemicals, and vegetable oils. With a strong footprint across the MENA region, Far East, and East Africa, they are focused on delivering sustainable infrastructure and logistics solutions for liquid storage—ensuring safety, reliability, and future-ready services.
They are currently seeking a highly polished Executive Assistant to support their Director in day-to-day operations. This role is integral to the smooth functioning of executive-level tasks, requiring exceptional organizational and communication skills, as well as a proactive mindset.

Key Responsibilities:

Manage and organize the Director’s calendar, ensuring meetings, appointments, and tasks are efficiently scheduled.

Arrange complex travel plans, visa processing, accommodation, and logistical coordination for business trips.

Draft, review, and send official correspondence, emails, reports, and presentations on behalf of the Director.

Handle confidential and sensitive matters with absolute discretion and professionalism.

Serve as the primary point of contact between the Director and both internal and external stakeholders.

Coordinate department-wide communications and follow up on deliverables with cross-functional teams.

Plan and execute internal and external meetings, events, business dinners, and executive briefings.

Track ongoing projects, monitor deadlines, and provide updates and reminders to ensure timely completion.

Maintain organized records, digital files, and structured documentation for easy access and retrieval.

Represent the Director in meetings with clients, partners, and senior-level stakeholders when required.

Anticipate needs, streamline daily operations, and identify opportunities to improve efficiency.

Education & Qualifications:

3–5 years of solid experience as an Executive Assistant, ideally supporting C-suite or Director-level executives.

Preferred experience in a trading company or within the energy, logistics, or industrial sectors.
