Event Assistant to Global Event Manager (100% Remote – Dubai)

Join our dynamic and fast-growing team as an Event Assistant supporting the Global Event Manager. This role is integral to the execution of large-scale international events—helping with everything from logistics and vendor coordination to budgeting and documentation. You’ll play a pivotal behind-the-scenes role in world-class forums, conferences, and corporate gatherings that leave lasting impressions.

Responsibilities:

  • Event & Logistics Support:
    Assist in the coordination of international events from planning to execution, ensuring smooth logistics and alignment with event goals.

  • Vendor and Stakeholder Coordination:
    Liaise with venues, vendors, and key stakeholders to ensure timely and accurate delivery of services.

  • Finance & Budget Management:
    Track and manage event-related expenses, process invoices, manage vendor payments, and support budget reconciliation and reporting.

  • Administrative Support:
    Manage calendars, schedule meetings, and coordinate travel logistics for event teams and participants.

  • Documentation & Reporting:
    Prepare reports, decks, and event-related documentation, keeping track of contracts, itineraries, and event files.

  • Internal & External Communication:
    Serve as a liaison between the Global Event Manager, internal teams, and external vendors, ensuring effective communication and smooth event execution.

Qualifications:

  • Experience:
    Minimum 3+ years in executive assistance, corporate event support, or finance-related roles.

  • Skills:
    Strong organizational skills, ability to manage multiple projects simultaneously, excellent communication and interpersonal abilities.

  • Technical Proficiency:
    Experience with Google Suite, Microsoft Office, and general tech-savviness.

  • Language Skills:
    Fluency in English and Spanish (spoken and written).

  • Additional:
    Willingness and availability to travel when required.

Preferred:

  • Candidates based in the EU are preferred due to event logistics and time zone alignment, but exceptional candidates from other regions are also welcome to apply.
