Job Title: Office Manager
Job Description:
We are seeking a highly organized, detail-oriented, and proactive Office Manager to oversee daily operations and ensure the smooth functioning of our administrative and office support systems. This position requires a strong communicator and multitasker with proven leadership abilities and the ability to maintain a well-run, efficient office environment.
Reporting directly to the CEO, the Office Manager will serve as a central point of coordination for office processes, supplies, team support, and facility management.
Key Responsibilities:

Supervise and manage day-to-day office operations

Maintain office supplies inventory and manage procurement

Answer phone calls and handle inquiries professionally

Coordinate delivery and collection of documents/materials with contractors and clients
-
Receive and organize mail and office documentation
-
Oversee office equipment maintenance and repair coordination
-
Organize meetings, schedules, and appointments
-
Assist in the preparation of regular reports and data summaries
-
Develop and manage the filing and document management system
-
Welcome and support visitors and external stakeholders
-
Plan and organize in-house or off-site events such as meetings, celebrations, or conferences
-
Ensure health and safety compliance within the office
-
Manage and track the office budget and expenditures
-
Create, implement, and monitor office procedures and policies
-
Support the Director in employee onboarding and offboarding
-
Coordinate with external vendors for services such as cleaning, catering, and security
Required Skills & Qualifications:
-
Minimum 2 years of experience as an Office Manager, Administrative Assistant, or Front Office Manager
-
Proficiency in MS Office tools (especially Excel and Outlook)

Strong organizational, planning, and multitasking abilities
-
Excellent written and verbal communication skills
-
High attention to detail and problem-solving mindset

Experience managing vendor relationships and office budgets

Creative and process-oriented approach to continuous improvement

Bachelor’s degree or higher diploma (Administrative or Secretarial qualification is a plus)
