Job Summary
We are seeking a proactive and well-organized Ward Clerk to provide essential administrative and clerical support to the clinical, medical, and nursing teams within our hospital’s in-patient unit. As a key member of the ward team, you will ensure the smooth functioning of daily operations, assist with patient admissions and discharges, manage non-medical queries, and facilitate communication across departments and with patients’ families.
Key Responsibilities
Admissions & Discharge

Coordinate patient admissions and discharges.

Assist in preparing paperwork relevant to patients’ medical processes.

Guide patients and families through non-medical aspects of discharge.
Communication & Coordination
-
Serve as the first point of contact at the nursing station.

Answer telephones and relay non-clinical messages.

Handle non-medical patient/family queries with professionalism and empathy.
-
Schedule outpatient follow-up appointments.
Administrative & Clerical Support

Maintain accurate and organized medical records and non-clinical documentation.

Coordinate with billing and insurance for documentation follow-up.

Receive and process patient feedback forms.

Assist patients with practical needs (e.g., food for bystanders, Wi-Fi access, mobile charging).

Replenish recreational/play items for patients.
Ward Management Support

Ensure daily replenishment of consumables, linen, and stationery.

Handle clerical duties such as filing, typing, and maintaining checklists.

Support specimen handling and pharmacy request forms.

Ensure smooth coordination of ward activities and maintain a welcoming environment.
Required Qualifications and Skills

Diploma or graduate degree (preferably with a nursing or healthcare background).

Fluent in English (spoken, written, and reading).

Excellent communication and interpersonal skills.

Strong IT and organizational abilities.

Ability to work efficiently in a fast-paced clinical environment.

Capable of managing multiple tasks and shifting priorities.

Experience working within a multidisciplinary team is a plus.
