Position Overview:

The Tendering and Document Control Specialist plays a critical role in ensuring structured, accurate, and compliant management of all tender-related and operational documents. This includes preparing technical and commercial bid submissions, maintaining document control systems, supporting internal departments, and ensuring timely, accurate submissions in line with regulatory and client requirements (e.g., ADNOC, KOC).

Key Responsibilities:

Tendering Support:

  • Review and analyze RFQs, RFPs, and ITTs for drilling fluids and oilfield services.

  • Coordinate with technical, commercial, and procurement teams to compile proposal inputs.

  • Format and prepare technical/commercial bids and prequalification documents.

  • Track tender deadlines, maintain submission registers, and ensure timely delivery.

  • Assist with pricing documentation and bid clarifications post-submission.

  • Maintain a central library of standard documents, MSDS, ISO certificates, and past proposals.

  • Support client portal submissions and vendor registration processes.

Document Control:

  • Implement document control systems, maintaining accurate records for tenders and projects.

  • Ensure proper classification, archiving, and version control of documents.

  • Manage document flows between internal teams, clients, and subcontractors.

  • Ensure compliance with internal formatting and client-specific submission standards.

  • Handle incoming/outgoing correspondence, approvals, and controlled distribution.

  • Maintain master document registers and ensure audit readiness.

Coordination & Compliance:

  • Liaise with QA/QC, HSE, Legal, and Finance to gather necessary documentation.

  • Ensure adherence to ISO standards and client compliance guidelines.

  • Support internal and client audits with complete and accessible documentation.

Post-Award Support:

  • Manage contract documentation post-award, including change orders and official correspondences.

  • Facilitate smooth handover of documents to execution teams.


Requirements:

Education:

  • Bachelor’s Degree or Diploma in Business Administration, Engineering, or a related field.

Experience:

  • 5–8 years of experience in document control.

  • At least 2–3 years supporting tenders/contracts in the oil & gas industry.

Skills & Tools:

  • Strong command of MS Office and Adobe Professional.

  • Experience with document control systems such as Aconex, SharePoint, or Procore.

  • Familiarity with ADNOC, Aramco, or other major client bidding platforms.

  • Strong attention to detail, time management, and organization.

  • Excellent verbal and written communication skills.

  • Ability to work both independently and in a cross-functional team.

Preferred:

  • Understanding of contract terms and commercial documentation.

  • Experience in high-value, confidential bid processes.
