Job Title: Retail Operations & Admin Executive
Job Description:
We are looking for a Retail Operations & Admin Executive to oversee and manage administrative tasks, ensuring smooth retail operations in the fashion and lifestyle industry. This role requires strong coordination with vendors, mall management, and internal departments to ensure seamless order execution, delivery, and compliance with company policies. The ideal candidate will have excellent organizational skills, attention to detail, and a solid understanding of retail operations.
Key Responsibilities:
Retail Operations & Admin Support:

Assist in day-to-day retail operations, including maintenance support, vendor coordination, and task delegation.

Manage communication with mall management, ensuring all required documents such as trade licenses and lease renewals are up to date.

Ensure compliance with company policies related to administrative tasks.
Office Management:

Oversee office maintenance and coordinate with the facility management team for necessary services.

Ensure adherence to SIRA (Dubai Police) requirements and collaborate with Group IT for system updates.

Track and manage office supplies, including stationery and printer essentials.

Address and resolve any housekeeping issues in the office.
Administrative Duties:

Maintain and update store and office documentation, including trade licenses, leases, and contracts.

Handle vendor agreements, invoices, and purchase requisitions, ensuring timely coordination with finance and procurement teams.

Assist in employee attendance tracking, overtime reporting, and coordination with Group HR.

Collaborate with the Legal Department to manage trading and non-trading agreements, ensuring compliance with company policies.

Support stores in raising purchase requisitions and issuing purchase orders while managing budgets with the finance team.

Assist in obtaining approvals and permits for smooth business operations.
Team Coordination & Communications:

Organize and schedule weekly, monthly, and quarterly meetings.

Assist in coordinating office events and celebrations such as Christmas, Diwali, and other occasions.
Key Competencies & Qualifications:
✔ Problem-solving and decision-making abilities in a fast-paced retail environment.
✔ Strong attention to detail and operational efficiency.
✔ Ability to manage multiple tasks and prioritize effectively.
✔ Excellent communication skills in English (written and spoken).
✔ 2+ years of experience in retail operations, preferably in the fashion and lifestyle industry.
✔ Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
✔ Passion for fashion and lifestyle with a deep understanding of retail operations.
