Role Overview:

Valtrans Transportation Systems is seeking a Receptionist to join our Human Resources team in Dubai. The ideal candidate will be the first point of contact for visitors and employees, ensuring a welcoming environment and smooth office operations. This role requires excellent communication, multitasking, and organizational skills to provide administrative support effectively.


Key Responsibilities:

  • Visitor Management:
    Greet and welcome visitors with a professional and positive attitude, ensuring a warm and efficient experience.

  • Phone Handling:
    Answer and direct phone calls promptly and courteously, ensuring messages are communicated clearly.

  • Reception Area Management:
    Maintain the cleanliness and organization of the reception area to ensure a pleasant first impression for visitors and staff.

  • Appointment Scheduling:
    Schedule and confirm appointments and meetings for HR personnel, ensuring proper coordination.

  • Mail and Package Handling:
    Efficiently manage incoming and outgoing mail and packages.

  • Administrative Support:
    Assist with general administrative tasks such as data entry, filing, and managing office supplies.

  • Cross-Department Coordination:
    Liaise with internal departments to ensure smooth communication and operations.

  • Security Compliance:
    Ensure security procedures are followed, controlling access via the reception area.


Candidate Requirements:

  • Experience:
    Previous experience as a receptionist is preferred.

  • Skills:

  • Excellent communication and interpersonal skills.

  • Proficiency in Microsoft Office and comfortable with office technology.

  • Strong organizational skills with attention to detail.

  • Ability to multitask, prioritize, and manage time effectively.

  • Discretion and professionalism in handling confidential information.

  • Appearance & Attitude:
    Professional appearance and a positive attitude are essential for this role.
