Job Description:
The Property Coordinator will oversee vacation rental operations and property management tasks, ensuring seamless guest experiences and efficient property upkeep. The role includes managing check-ins/checkouts, coordinating maintenance, preparing units for guests, liaising with internal and external teams, and handling property sourcing for short-term rentals. This position requires strong organizational, communication, and multitasking skills, with the ability to handle daily operations in a fast-paced environment.
Key Responsibilities:
Vacation Rentals Operations:

Oversee all checkouts including cleaner scheduling, guest departure tracking, unit inspection, and cleaning supervision.

Report property irregularities and coordinate necessary repairs.
-
Manage guest issues promptly, ensuring quick and effective resolution.

Assist with cleaning, laundry, linen preparation, and unit readiness as needed.
-
Review Checkout Forms and action required repairs or updates.
-
Handle accommodation & upselling service bookings across India, Dubai, Jamaica, and future territories.
-
Respond to daily guest inquiries through CM.com (Mobile Service Cloud).
-
Maintain strong working knowledge of Hostaway, Airbnb, Booking.com, VRBO, and Expedia.
-
Liaise with guests before and after check-in—sharing maps, check-in instructions, and additional information.
-
Manage guest registration requirements with buildings or relevant authorities.
-
Ensure timely towel/linen changes and complimentary cleanings.
-
Track guest check-in form completion and update booking groups accordingly.
-
Follow up on Credit Card bookings, ensure CCA form signing, collect documents, and file them in Google Drive.

Communicate with international teams and staff through WhatsApp groups regarding bookings and guest requests.

Respond to Airbnb reviews using standardized templates.
-
Ensure all Dubai properties have adequate cleaning materials.

Conduct monthly inventory audits and update management sheets.
-
Prepare monthly Tourism Dirham Fee reports.
-
Coordinate check-in and check-out schedules for Jamaica operations.
-
Share daily booking information with respective Security WhatsApp groups.

Carry out basic repairs in Dubai properties.
Property Finder Responsibilities:

Source and onboard properties suitable for short-term rental, including studios, apartments, and villas.

Conduct property assessments for compliance with safety, layout, and furnishing standards.
-
Negotiate agreements with landlords for high-performing listings.
-
Coordinate with interior design and furnishing partners to upgrade properties where necessary.
-
Advise owners on maximizing occupancy and revenue through amenities and pricing.
-
Ensure all properties meet DTCM compliance requirements.
-
Collaborate with teams to create high-impact listings, photos, and descriptions.
-
Assist in setting dynamic pricing strategies based on trends, seasonality, and competition.

Work with guest relations and operations teams to align cleaning, maintenance, and check-in processes.
-
Monitor guest reviews and resolve recurring performance issues.
-
Identify new popular areas, trends, and evolving guest preferences.
Services Department:

Update service sheets daily for transport, chef services, prestocking, and massages.
-
Share daily service bookings for Jamaica and transport bookings for Transport Group.
Marketing Support:

Design and publish content on Instagram and Facebook to drive bookings.
-
Maintain guest email databases using Mailchimp & Guesty.
-
Send Mailchimp marketing campaigns to targeted lists.
-
Update product listings and photos on REVEL, SOBE & ORDA.
Travel & Tourism Tasks:
-
Manage local visa, hotel, tour, and transport bookings.
-
Coordinate with suppliers and make prepayments when required.
-
Communicate with clients and suppliers until service completion.
-
Follow up to ensure tour satisfaction and handle feedback.
Skills & Qualifications:

Bachelor’s degree preferred.
-
Valid UAE driving license is mandatory.
-
Minimum 2 years of experience in hospitality, property sourcing, leasing, real estate, or admin/HR.

Strong written and spoken English.
-
Strong negotiation, communication, and interpersonal skills.
-
Knowledge of property maintenance and booking platforms.
-
Proficiency in Google Sheets/Excel.
-
Ability to work independently and handle pressure.
-
Willingness to work overtime; flexible with days off.

Punctual, organized, and pleasant personality.
-
Strong network of landlords, developers, or real estate investors in Dubai.
