Guildhall is hiring a highly organized and discreet Personal Assistant (PA) to directly support our Commercial Director. This role demands excellence in multitasking, calendar management, travel planning, event coordination, and above all, a strong ability to handle personal errands and tasks with the utmost confidentiality and professionalism.

Key Responsibilities:

Calendar & Appointment Management: Coordinate and prioritize both business and personal appointments; send reminders and confirmations.

Travel & Logistics: Arrange domestic and international flights, hotels, and transfers per Director’s preferences.

Personal Assistance: Handle personal tasks, including shipments, returns, gift arrangements, and managing important dates like birthdays and anniversaries.

Event Coordination: Plan small-scale company events and private engagements (venue sourcing, catering, guest management, etc.).

Vendor Management: Communicate with service providers, vendors, and suppliers to ensure timely delivery and quality service.

Venue Scouting: Research trending restaurants and cafes suitable for business or personal occasions.

Team Support: Assist with onboarding, office administration, facilities coordination, and occasional team leadership.

Professional Correspondence: Draft concise, well-written reports and communications on behalf of the Director.

Multichannel Communication: Be responsive via phone, email, and messaging platforms—flexible availability is essential.

Process Improvement: Proactively improve workflows and identify areas for operational efficiency without needing direct instruction.
Ideal Candidate Requirements:

Minimum 3–5 years of experience as a Personal Assistant or Executive Assistant.

Proven ability to handle confidential tasks and manage high-level professionals’ personal & work responsibilities.

Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Outstanding organizational, written, and verbal communication skills.

Fluent in English; other languages are a plus.

High level of professionalism and a polished, presentable demeanor.

Must be based in Dubai or open to relocating immediately.
