Personal Assistant / Office Manager

Novastela, a financial services firm based in Business Bay, Dubai, is seeking a highly organized and proactive Personal Assistant / Office Manager to support the Director and ensure smooth office operations. The role involves administrative support, client coordination, and managing internal systems, offering flexibility with opportunities to work from home.

Key Responsibilities:

  • Provide executive-level administrative support to the Director, including calendar and meeting management.

  • Maintain and update the CRM and back-office systems to ensure data accuracy and efficiency.

  • Communicate professionally with clients, candidates, and external stakeholders on behalf of the Director.

  • Prepare reports, presentations, and other confidential business documentation.

  • Assist in both business-related and personal administrative tasks as needed.

  • Oversee daily office operations to ensure smooth functioning of the Dubai office.

Skills & Requirements:

  • Minimum 2+ years of experience in a PA, Executive Assistant, or Office Manager role.

  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel).

  • Familiarity with CRM systems and software such as Bullhorn or Xero is an advantage.

  • Excellent communication, time management, and organizational skills.

  • Must be based in Dubai.

  • Ability to handle confidential information with discretion.

  • Employment Type: Full-time (Part-time available, minimum 20 hours per week)

  • Work Type: Hybrid (Business Bay office + work from home flexibility)
