Job Title: Operations Assistant
Job Description:
We are looking for a proactive and detail-oriented Operations Assistant to support our dynamic food production operations. This non-chef role is integral to the success of multiple departments, including ERP, Production Planning, Specifications, New Product Development (NPD), Administration, and Engineering. You will play a key role in streamlining operational tasks, ensuring compliance, maintaining accuracy in documentation, and collaborating with cross-functional teams to meet production and quality goals.
Key Responsibilities:
General Operations Support:

Coordinate with internal teams to align production schedules, ensure safety standards, and meet KPIs.

Collaborate with cross-departmental teams including Food Safety, Quality, Hygiene, ERP, Engineering, and NPD for smooth operations and successful product launches.

Maintain accurate HACCP production records and recommend improvements to minimize waste and errors.

Ensure full compliance with QHSE and food safety regulations.
ERP System Management:

Maintain and optimize ERP data for inventory control and procurement.

Generate reports, assist in upgrades/troubleshooting, and identify efficiency improvements.

Upload and update recipes, track supplier deliveries, and ensure stock accuracy based on the Master Production Schedule.
Production Planning:

Update and prioritize the production schedule and meal lists.

Coordinate activities between production teams for workflow efficiency.

Analyze trends, sales, and purchase orders to support accurate planning and resource utilization.

Assist in equipment and material capacity analysis.
Product Specification Management:

Create and manage product labels and maintain accurate specification documentation.

Support senior chefs in presentations and align internal systems with food point specifications.
New Product Development (NPD):

Prepare and evaluate meals for sensory testing and maintain traceability records.

Maintain stock of benchmark meals and update meal specs accordingly.

Provide admin/logistics support to the NPD team during development cycles.
Administrative Support:

Manage employee records, process Coupa requests, and generate invoices.

Prepare reports, maintain files, and coordinate operational tasks including schedules, attendance, and leave records.

Act as a backup support during busy periods or team absences.
Food Production Assistance:

Assist with labeling and finished product processes; support production schedules and work orders.

Monitor product quality and provide corrective feedback to ensure standards.
Equipment & Engineering Support:

Participate in engineering meetings and track action points.

Conduct basic risk assessments and maintenance tasks.

Ensure equipment is assembled accurately and aligned with Bill of Materials.
Minimum Qualifications:
Education:
-
High school diploma or equivalent required.
-
Certification in administration or hospitality is a plus.
Experience:
-
Minimum 3 years’ experience in hospitality, food production, or a related field.
Skills:
-
Strong knowledge of Microsoft Office.
-
Excellent communication, time management, and multitasking skills.
-
Ability to work well within a team and maintain accurate documentation.

Strong attention to detail and ability to take ownership of tasks.
