BIWIN TECHNOLOGY is looking for a highly organized and proactive Office Manager to oversee daily administrative operations. This role is essential in maintaining office efficiency, supporting staff, and ensuring smooth office functions. The ideal candidate should be detail-oriented, have strong communication skills, and be capable of handling multiple responsibilities.

Key Responsibilities:

Administrative Support:

  • Manage office duties, including answering calls, greeting visitors, and handling correspondence.

  • Organize meetings, appointments, and travel arrangements for executives and team members.

Document & Data Management:

  • Prepare, proofread, and edit documents, reports, and presentations.

  • Maintain electronic and physical filing systems for easy access and retrieval.

  • Input and update company databases and generate reports as required.

Office Operations & Supplies:

  • Monitor office supplies inventory and place orders when necessary.

  • Coordinate with vendors for procurement and office maintenance services.

Meeting & Calendar Management:

  • Set up meeting rooms, ensuring all necessary equipment is available.

  • Prepare agendas, take meeting minutes, and send meeting reminders to relevant team members.

  • Maintain and update department calendars for better workflow management.

Mail & Courier Handling:

  • Process incoming and outgoing mail, coordinating with courier services for deliveries.

Basic Accounting Support:

  • Assist in processing invoices, expense reports, and maintaining financial records.

Qualifications & Requirements:

  • Associate’s degree required; Bachelor’s degree preferred.

  • 1-2 years of experience in an administrative or office support role.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent organizational and communication skills (both verbal and written).

  • Ability to prioritize tasks, multitask, and meet deadlines efficiently.

  • Professional demeanor with a strong customer service orientation.

  • Knowledge of office equipment operations and maintenance.
