Role Overview

We are seeking a highly organized Office Assistant to provide administrative and operational support for a Dubai-based non-profit professional association. This role plays a key part in ensuring smooth day-to-day office operations while supporting senior leadership with confidential and time-sensitive responsibilities.


Key Responsibilities

Executive & Administrative Support

  • Provide comprehensive assistance to the Executive Director and Board Members.

  • Manage calendars, meetings, and communications while prioritizing administrative tasks efficiently.

  • Maintain strict confidentiality when handling sensitive information and documentation.

Communication & Coordination

  • Handle incoming correspondence across all organizational communication channels.

  • Prepare documents, reports, and presentations as required.

  • Serve as a coordination point between leadership, staff, and external stakeholders.

Travel & Logistics Management

  • Arrange travel, accommodation, and related logistics for leadership and team members when needed.

  • Ensure all itineraries and documentation are organized and delivered in a timely manner.

HR & Office Administration

  • Maintain employee records, contracts, and HR documentation.

  • Support work permits, insurance administration, and leave tracking processes.

  • Assist with compliance-related administrative tasks aligned with UAE labor practices.


Requirements

Experience

  • Minimum 3 years of experience providing executive or administrative support to senior leadership.

  • Familiarity with HR processes and understanding of UAE labor regulations.

Skills

  • Fluent in English (written and verbal); Arabic proficiency is an advantage.

  • Advanced knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong typing accuracy and ability to manage databases and records efficiently.

  • Excellent organizational, multitasking, and time-management abilities.

  • Professional discretion and a detail-oriented mindset.
