ENGIE Solutions Middle East is currently seeking a dedicated and detail-oriented Office Assistant to join our team in Abu Dhabi, UAE. As a part of our growing business unit, you will play a vital role in supporting our daily operations through administrative and clerical tasks, ensuring smooth and efficient office workflows.

Job Purpose:

The Office Assistant will provide comprehensive administrative and clerical support to professional staff. This role involves working independently or as part of a team, assisting with office management, documentation, record-keeping, and customer service tasks.

Key Responsibilities:

  • Provide support for general office duties and assigned tasks from supervisors.

  • Answer phone calls, take messages, and address inquiries within scope.

  • Maintain records such as attendance, leave, and trip logs.

  • Handle financial documentation and perform basic mathematical computations accurately.

  • Use office equipment and technology efficiently (computers, MS Office, printers, scanners).

  • Maintain and organize files and documentation.

  • Perform printing, photocopying, mailing, and filing duties.

  • Create and send out contracts, invoices, and policy documents.

  • Support the team in creating reports, presentations, and data summaries.

QHSE Responsibilities:

  • Take reasonable care for your own health and safety, and ensure your actions do not impact others.

  • Follow company health and safety instructions and report any incidents or risks.

  • Use health and safety equipment appropriately and cooperate with company HSE initiatives.

Skills Required:

  • Strong organizational and multitasking abilities.

  • Excellent communication skills (oral and written).

  • Ability to manage workloads under pressure and meet deadlines.

  • High level of discretion, professionalism, and confidentiality.

  • Confident, polite, and efficient telephone manner.

  • Strong teamwork, reliability, and honesty.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).

Qualifications:

  • Higher Secondary School Certificate

Additional Requirements:

  • Experience with preparing professional correspondences and reports.

  • Skilled in answering and routing calls professionally.

  • Proficient in scheduling meetings and managing appointments.

  • Capable of compiling statistical data and creating charts.

  • Demonstrated interpersonal skills with internal and external stakeholders.
