Job Title: Office Administrator

Job Description:
We are looking for a well-organized and proactive Office Administrator to manage day-to-day office operations, provide administrative support, and ensure smooth communication within the team and with external stakeholders. The ideal candidate will be detail-oriented, a great multitasker, and customer-focused, with experience in handling both administrative duties and front-desk responsibilities.

Key Responsibilities:

Office Management:

  • Maintain inventory of office supplies and reorder as needed

  • Oversee maintenance and servicing of office equipment

  • Manage incoming and outgoing mail and packages

Administrative Support:

  • Prepare regular reports and maintain organized filing systems

  • Update office policies and coordinate with IT for office equipment needs

  • Assist in creating and maintaining documentation and forms

Communication:

  • Answer and direct incoming phone calls

  • Schedule appointments, plan meetings, and take meeting minutes

  • Draft and distribute internal and external communications

Customer Service:

  • Welcome and assist visitors professionally

  • Handle customer inquiries and resolve complaints efficiently

Project Support:

  • Support with proposals, reports, and presentations

  • Conduct research and compile data for team projects

Skills & Qualifications:

  • High school diploma or equivalent (additional certification as an Administrative Assistant is a plus)

  • Proven experience in administrative or office assistant roles

  • Proficiency in MS Office (Excel, PowerPoint, Word)

  • Excellent time management and organizational skills

  • Strong verbal and written communication skills

  • Ability to multitask and prioritize in a fast-paced environment

Working Conditions:

  • Standard office environment

  • Occasional light lifting of office materials
