Hilton’s Waldorf Astoria Dubai Palm Jumeirah is looking for a dedicated Groups, Conference & Events (GC&E) Coordinator to join their team. This full-time, on-site role requires 2-3 years of experience in event coordination or hospitality within luxury or upscale environments. The coordinator will ensure the seamless planning and execution of group bookings, conferences, and events, delivering exceptional guest satisfaction.

Responsibilities:

  • Respond promptly to customer inquiries related to group bookings, conferences, and events, providing detailed and accurate information.

  • Assist in planning and coordinating group events, conferences, and meetings, ensuring client requirements are fully captured and met.

  • Organize and schedule site inspections to showcase event facilities to potential clients.

  • Liaise with Food & Beverage, Banqueting, and Operations teams to coordinate room setups, AV needs, catering, and other event logistics.

  • Maintain and update event diaries and space availability to optimize hotel facility usage.

  • Provide on-site support during events, ensuring smooth execution and addressing any arising issues.

  • Assist in post-event follow-ups, gathering feedback to evaluate event success and improve future services.

  • Support billing and payment processes in line with hotel policies.

  • Prepare and organize event materials such as signage and promotional collateral ahead of events.

  • Assist in reporting on event performance, sales, and client feedback to improve departmental strategies.

Qualifications:

  • Minimum 2-3 years’ experience in event coordination, sales, or a similar hospitality role within luxury hotels or upscale settings.

  • Proven ability to manage multiple event logistics including space planning, catering, AV, and room setup.

  • Strong communication and interpersonal skills to build relationships with clients, event planners, and suppliers.

  • Excellent organizational skills with a keen eye for detail.

  • Ability to collaborate effectively with multiple departments.

  • Proactive problem solver with a focus on guest service excellence.

  • Familiarity with event management software and the ability to learn new tools quickly.

  • Strong time management and prioritization skills in fast-paced environments.

  • Flexibility to work varied hours including weekends and holidays as per event requirements.

  • Knowledge of hospitality industry standards related to events and group bookings.

  • Professionalism in managing high-pressure situations.

  • Strong writing and reporting skills for documentation and feedback follow-ups.
