A reputable organization in Dubai is looking to hire a Front Office Administrator to oversee front desk operations and ensure the smooth running of daily administrative activities. The ideal candidate will serve as the first point of contact for visitors and clients, manage communications, and provide essential administrative and clerical support to different departments.

This role requires excellent organizational, communication, and multitasking skills, along with the ability to handle confidential matters professionally.

Key Responsibilities:

  • Manage the front desk area, greet and assist visitors in a professional manner.

  • Handle incoming and outgoing calls, emails, and correspondence efficiently.

  • Coordinate office activities to ensure efficiency and adherence to company policies.

  • Arrange corporate travel, hotel bookings, and onboarding for staff in coordination with HR.

  • Maintain and update office records, databases, and filing systems.

  • Prepare and manage documents, spreadsheets, reports, and presentations.

  • Coordinate meetings, appointments, and company events; take meeting minutes when required.

  • Monitor and manage office supplies and inventory, placing orders as necessary.

  • Supervise housekeeping staff and manage their schedules.

  • Ensure all administrative operations are handled with confidentiality and professionalism.

Qualifications & Skills:

  • Bachelor’s degree in Business Administration or a related field.

  • Minimum 3 years of experience as a Receptionist, Administrative Assistant, or Front Office Administrator.

  • Excellent written and verbal communication skills in English (Arabic is an advantage).

  • Strong organizational, multitasking, and time management skills.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Ability to handle sensitive information with discretion.

  • Professional attitude and a customer-focused mindset.
