Front Desk Specialist – (Emirati Talent)

AbbVie, a global biopharmaceutical leader dedicated to discovering and delivering innovative medicines, is seeking a Front Desk Specialist for their Dubai office. This full-time position is open exclusively to Emirati nationals and offers an exciting opportunity to join a fast-paced, dynamic environment supporting key administrative and reception functions.

The Front Desk Specialist will be the professional face of AbbVie’s Dubai office, responsible for greeting clients, visitors, and staff warmly and managing efficient check-ins. Key duties include handling multi-line phone systems, coordinating conference rooms and meeting preparations, managing mail and deliveries, and maintaining a tidy and organized reception area. Additionally, this role involves various administrative tasks such as filing, data entry, office supplies monitoring, and invoice processing.

The candidate will adhere strictly to security protocols, manage visitor logs and building access, and support internal teams with logistical needs, including arranging refreshments and assisting with contract renewals. This position also supports procurement processes such as raising purchase orders and liaising with accounts.

Responsibilities:

  • Welcome and assist clients, visitors, and employees professionally and courteously.

  • Manage multi-line phone system, answering and redirecting calls promptly.

  • Coordinate conference room bookings and ensure meeting spaces are well-equipped.

  • Handle mail sorting, distribution, and courier scheduling.

  • Maintain cleanliness and organization of reception area.

  • Assist with administrative tasks: filing, data entry, and preparing documents/reports.

  • Monitor and order office and pantry supplies with facilities/procurement teams.

  • Manage visitor logs, issue access badges, and enforce security procedures.

  • Support building and parking access coordination, including permit processing.

  • Arrange business cards for new employees.

  • Coordinate refreshments for meetings in liaison with internal teams.

  • Process contract renewals and invoices, liaising with accounts for payments.

  • Support brand and PTP teams with shipping of corporate and brand materials.

  • Raise purchase orders and upload contracts to company databases.

  • Provide ad hoc administrative support as needed.

Qualifications:

  • Must be Emirati national as per local employment regulations.

  • 0–2 years’ experience in administrative or receptionist roles.

  • Excellent interpersonal and communication skills.

  • Professional appearance and demeanor.

  • Proficient with Microsoft Office (Outlook, Word, Excel).

  • Strong attention to detail and organizational ability.

  • Eagerness to learn and adapt in a dynamic work environment.

  • Ability to multitask and handle responsibilities efficiently and professionally.
