Job Title: Finance & Administrative Coordinator
Job Description:
We are seeking a detail-oriented Finance & Administrative Coordinator to manage core financial processes and administrative functions within our organization. This dynamic role combines invoice management, employee visa coordination, and company license renewals—making it ideal for candidates with a strong background in finance and organizational administration.
As a key support figure in our operations, you will be responsible for maintaining accurate accounting records, ensuring legal compliance through timely license renewals, and supporting HR in visa processing and employee record management.
Key Responsibilities:
Accounting & Financial Coordination:

Reconcile invoices and validate return/cancellation orders to maintain precise accounting records.

Verify and document bank transfers, POS transactions, and check deposits, working closely with the finance team.

Monitor outstanding balances, track unpaid invoices, and coordinate with the warehouse on deliveries and payment recovery.

Ensure all paper-based invoices align with sales notes for accurate reporting and submission.
Company License Management:

Oversee timely renewal of all store business licenses, submitting required documentation at least one month in advance.

Manage the renewal of external product display applications, ensuring compliance with local regulations.
Employee Visa Coordination:

Track and renew employee work visas, submitting renewals at least one week before expiration.

Collect and process all documentation for new hires and facilitate their visa applications.

Maintain a structured archive of employee records and documentation for internal use and audits.
Skills & Requirements:

Education: Associate degree or higher in Finance, Accounting, Business Administration, or a related field.

Experience: Minimum 1 year in finance, accounting, or administrative support (preferred).

Technical Proficiency: Skilled in Microsoft Excel and accounting software tools.

Soft Skills: Highly detail-oriented, responsible, and capable of effective cross-department coordination and multitasking.

Language: Fluent in English (spoken and written); knowledge of Arabic is an advantage.
