Job Title: Executive Personal Assistant & Operations Coordinator
Job Description:
We are looking for a highly organized, proactive, and detail-oriented Executive Personal Assistant & Operations Coordinator to support both professional and personal tasks. The ideal candidate will manage daily company affairs, coordinate with suppliers and partners, and ensure smooth operational flow. You will play a vital role in supporting management, logistics, and procurement activities while maintaining confidentiality and professionalism at all times.
Key Responsibilities:

Coordinate and manage the executive’s daily schedule, appointments, communications, and travel plans

Handle company affairs and ensure seamless day-to-day operations

Act as the point of contact between management and external partners, vendors, suppliers, and logistics companies

Prepare reports, documents, and presentations for internal and external use

Manage purchase orders, vendor relationships, pricing lists, and catalogs
-
Monitor and track supply chain activities and ensure timely deliveries

Assist in coordinating imports and product certifications

Evaluate, negotiate, and maintain strong relationships with suppliers and factories

Stay available and responsive (on-call support as required)
Skills & Qualifications:

Strong organizational and multitasking abilities

Proven experience in trading, logistics coordination, and vendor management

Proficient in communication (handling emails, calls, messages)

Skilled in procurement, order tracking, and supplier relationship management

Ability to prepare high-quality reports and professional presentations
-
Familiarity with supply chain, import coordination, and product documentation

Fluent in English (Arabic or Chinese is a plus)

Proficiency in MS Office and business communication tools
