Job Overview:
A prestigious US-based asset management firm is seeking an experienced and detail-oriented Executive Assistant (EA) to support two senior sales executives based in Dubai and London. The ideal candidate will possess deep organizational skills, strong communication abilities, and a solid understanding of the investment management industry. This role requires coordination across Dubai, London, and US time zones, contributing directly to business development success and client engagement.

Key Responsibilities:

Client Relationship Management:

  • Build and maintain strong rapport with clients and their executive assistants

  • Support the onboarding process for new clients and manage accurate records in CRM systems

  • Assist in organizing conferences, events, and managing post-meeting action items

  • Facilitate smooth internal communication and follow-ups with relevant departments

Sales & Business Development Support:

  • Coordinate and track sales initiatives and assist in identifying new business opportunities

  • Prepare progress reports, sales performance summaries, and assist with marketing material distribution

  • Handle travel planning, calendar management, and complex scheduling across multiple time zones

  • Submit and manage expense claims, ensuring compliance with internal policies

  • Maintain digital and physical filing systems in accordance with document retention standards

Office Operations Support:

  • Assist with broader office activities and help maintain seamless daily operations

  • Coordinate with the U.S.-based Sales Assistant for alignment on shared tasks and global events

Skills & Qualifications:

Required:

  • 5–8 years of Executive Assistant experience, ideally within investment management or financial services

  • Bachelor’s degree (minimum)

  • Exceptional time management, organizational, and multitasking abilities

  • High proficiency in Microsoft Office (Outlook, Excel, PowerPoint)

  • Ability to adapt to dynamic business needs across different global time zones

  • Strong verbal and written communication skills

Preferred:

  • Experience with CRM systems (e.g., Salesforce)

  • Interest in sales and business development functions

  • Proactive, detail-oriented, and solutions-driven personality
