Job Title: Executive Assistant 

Job Description:

Al Rostamani Communications, a leading IT & Telecommunication Solutions Provider in the UAE and GCC region, is seeking a highly organized and professional Executive Assistant to support the General Manager. This role is critical in ensuring the GM’s office operates efficiently, while also facilitating internal coordination and external communications. If you’re a detail-oriented, bilingual professional with a strong background in administration and executive support, this is an exciting opportunity to work with a prestigious, multicultural organization.

Key Responsibilities:

  • Provide high-level administrative support to the GM, including managing calendars, meetings, and travel plans.

  • Draft, edit, and translate reports, correspondence, and contracts in English and Arabic.

  • Monitor and analyze special reports, summarizing key findings for management.

  • Ensure smooth operations of the GM’s office by implementing effective systems, layouts, and office workflows.

  • Liaise between the GM and internal departments to facilitate seamless communication and task execution.

  • Uphold company standards by adhering to policies and maintaining confidentiality in all matters.

  • Coordinate with Group Marketing to organize corporate events and internal announcements.

  • Handle incoming calls, messages, correspondence, and maintain comprehensive filing systems.

  • Manage office supplies and assist in procurement planning.

  • Collaborate with HR for staff-related tasks and provide support across departments when needed.

  • Oversee office support staff including receptionist, driver, and office assistants to ensure operational efficiency.

Job Requirements:

Qualifications:

  • Bachelor’s degree, preferably in Business Administration or a related field.

Experience:

  • 5 to 8 years of experience in a secretarial, executive assistant, or office administration role.

Skills & Competencies:

  • Strong communication skills in English and Arabic (verbal and written).

  • Proficient in Microsoft Office and general computer applications.

  • Exceptional organizational and interpersonal skills.

  • High level of professionalism and discretion.

  • Ability to handle multiple tasks with accuracy and efficiency.

  • Presentable and pleasant demeanor with a proactive approach.
