Job Title: Executive Administrative Assistant to Managing Director
Job Description:
We are looking for a proactive and detail-oriented Executive Administrative Assistant to support our Managing Director in day-to-day business operations. This high-impact role requires exceptional organizational skills, the ability to manage sensitive information with confidentiality, and the capability to function effectively in a dynamic, fast-paced environment.
You will serve as the right hand to the Managing Director, ensuring seamless coordination, communication, and execution of key tasks across various business functions.
Key Responsibilities:
Calendar & Meeting Coordination:

Manage the Managing Director’s calendar, schedule meetings, and organize appointments with precision and confidentiality.

Prepare meeting agendas, take minutes, and follow up on key action items.

Coordinate cross-functional internal and external meetings.
Communication & Liaison:

Screen and manage incoming communications, including calls, emails, and messages.

Serve as the primary point of contact between the Managing Director and clients, vendors, and internal teams.

Ensure all interactions are handled with professionalism and diplomacy.
Documentation & Reporting:

Prepare executive-level reports, presentations, and briefing documents.

Compile data from platforms like Orion for reports on sales performance, stock levels, and market analysis.

Conduct market research and generate competitor intelligence reports.
Administrative Operations:

Maintain organized records, confidential files, and sensitive documents.

Handle daily administrative tasks including expense reports, document filing, and internal coordination.
Event & Project Management:

Assist in organizing events, showroom visits, seasonal campaigns, product launches, and fashion exhibitions.

Oversee logistical arrangements and materials preparation.

Support performance audits across retail stores, e-commerce platforms, and social media channels.

Collaborate with store managers and department leads to validate operational data.
Required Skills & Qualifications:

Minimum 2 years of experience in executive or administrative support roles.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

Excellent English communication skills (verbal and written); Arabic is a strong advantage.

Ability to multitask, stay organized, and manage shifting priorities in a fast-paced environment.

High level of discretion and professionalism in handling confidential information.
