Magic is seeking a Freelance Event Coordinator to manage high-impact speaking and exhibitor opportunities for client companies, ensuring flawless execution at conferences and trade shows. This fully remote role focuses on event logistics, bookings, negotiations, materials management, and post-event reporting, helping clients maximize visibility, generate leads, and achieve ROI.
Key Responsibilities:

Research, identify, and secure speaking slots and exhibitor booths for clients at targeted industry events.

Manage applications, contracts, deadlines, and confirmations for both speaking and exhibitor opportunities.

Negotiate fees, booth placements, sponsorship packages, and contract terms with event organizers.

Build and maintain relationships with event hosts, organizers, and vendors.

Coordinate production, shipping, and timely delivery of event materials (merchandise, banners, collateral).

Assign and brief staff for events; prepare run-of-show documents and oversee on-site setup and AV arrangements.

Maintain an up-to-date event calendar and prioritize events based on audience fit, cost/benefit, and speaking potential.

Provide hands-on support before, during, and after events; prepare post-event reports and coordinate lead follow-up.
Qualifications & Skills:

Minimum 1 year experience as an Event Coordinator or Booking Agent.

Demonstrated experience booking speaking engagements and exhibitor booths at industry events.

Proven negotiation experience with event organizers and vendors.

Experience coordinating event materials, staff, shipping, and on-site logistics.

Proficient with Asana, Google Workspace, Slack, and Canva.

Strong organizational skills, attention to detail, and ability to manage multiple events simultaneously.

Excellent communication, relationship-building, and problem-solving skills.

Comfortable working remotely with a reliable internet connection, computer, and quiet workspace.
Work Setup & Compensation:

Remote position, 40 hours per week (Monday to Friday, 8 hours/day, Eastern Time schedule).

Compensation: $6 per hour, freelance contract; no benefits included.
