Role Overview:
AQC FITOUT is seeking a Document Controller / Time Keeper to join our team in Dubai. In this role, you will be responsible for ensuring efficient document management, accurate record-keeping, and timely communication across various projects. This is an excellent opportunity for an organized and detail-oriented professional with experience in the construction, fit-out, engineering, or consultancy sectors.
Key Responsibilities:

Document Classification & Filing:
Ensure proper classification, sorting, filing, and retrieval of physical and digital documents, ensuring accessibility for employees and clients. -
Document Flow Management:
Manage the flow of documents within the organization, conducting regular reviews and audits to ensure accuracy and compliance. -
Preparation of Documents:
Prepare various submittals such as Shop Drawings, Method Statements, WIR, MIR, Material Submittals, Document Submittals, and NOCs. -
Log Incoming & Outgoing Documents:
Maintain a log for all incoming and outgoing documents, including letters, LPOs, and project-related document submittals received from the site. -
Draft Correspondence:
Assist Project Managers in drafting internal and external correspondence with clients, consultants, subcontractors, and stakeholders. -
Confidentiality:
Maintain confidentiality of sensitive information and terms of agreements. -
Ensure Timely Delivery of Documents:
Ensure that internal memos and correspondences are received by management on time, and controlled copies of approved documents are distributed appropriately. -
Payment Documentation:
Ensure proper distribution of Payment Applications, Subcontractor Payment Applications, and Tax Invoices to clients or relevant authorities.
Candidate Requirements:

Experience:
Previous experience in document control within the construction, fit-out, engineering, or consultancy sectors is preferred. -
Technical Skills:
Strong command of document control systems and software such as Aconex, Procore, and EDMS. -
MS Office Proficiency:
Proficiency in MS Office and PDF editing tools. -
Organizational Skills:
Excellent organizational and filing skills, with a strong attention to detail and accuracy. -
Communication Skills:
Strong written and verbal communication skills. -
Knowledge of Standards:
Familiarity with project documentation standards, particularly in the UAE. -
Education:
A Bachelor’s Degree or Diploma is preferred.
Salary:
-
AED 2,500 to 4,500 per month, inclusive of fixed allowances.
