Coordinator – Kitchen Maintenance Solutions


Transguard Group, a leading business support and outsourcing provider in the UAE, is seeking a Coordinator – Kitchen Maintenance Solutions to join the TG Living and Kitchen Maintenance Solutions team in Dubai.
This full-time, on-site role requires an experienced professional to coordinate kitchen equipment maintenance activities between the HQ team, site technical team, and client stakeholders. The ideal candidate will oversee technical support, spare parts quotations, service approvals, and overall operational efficiency.
Key Responsibilities
Financial Management:
- Track quote approvals, LPO status, and GRN for final invoicing
- Ensure invoicing and work completion reports are available
- Support contract renewals to minimize Working at Risk situations
- Assist in achieving CI log targets for the fiscal year
- Maintain profit margins and identify revenue risks
- Generate and track spare parts quotations based on client needs
- Maintain accurate pricing & margins per BU standards
- Ensure ad-hoc quotes are processed for maximum revenue generation
- Collaborate with FP&A team for revenue tracking
Customer Service & Coordination:
- Act as the first point of contact for daily service activities
- Proactively meet clients’ breakdown & PPM requirements
- Assign technical teams efficiently for breakdown callouts and proactive follow-ups
- Maintain PPM schedules, reports, and audit documentation (HACCP, HSE)
- Ensure timely communication of operational challenges to clients
- Maintain client records and third-party inspection documentation
Process Optimization & Reporting:
- Schedule technical team assignments fairly and efficiently
- Act as a liaison between HQ management and technical teams
- Accurately track work completion reports, LPO approvals, and payments
- Maintain database records and coordinate CAFM system work orders
- Oversee budgeting, invoicing, and accounting system coordination
Qualifications & Skills Required:
- 5+ years of experience in a coordinator role
- 5+ years of administrative experience with operational oversight
- Strong analytical and problem-solving abilities
- Geographical knowledge of UAE is a plus
- Excellent communication skills in English (additional languages are advantageous)
- Proficiency in Excel (ability to generate reports & present data)
- Outgoing personality with strong customer service and stakeholder management skills
- Ability to coordinate teams effectively, ensuring fairness and transparency
- Experience with route planning methodology for cost-effective service deployment
