Job Title: Clinic Administrator

Job Description:

We are seeking a proactive and detail-oriented Clinic Administrator to manage the daily operations of our high-end aesthetic and wellness clinic in Dubai. Reporting directly to the Clinic Manager, the ideal candidate will ensure smooth clinic functionality while providing exceptional service support to both clients and staff.

This is a dynamic role that blends administration, customer service, and team coordination—perfect for someone passionate about wellness, beauty, and operational excellence.

Key Responsibilities:

• Oversee day-to-day clinic operations including appointment scheduling, patient record management, and staff coordination

• Maintain and update clinic management systems and digital patient databases

• Monitor and manage inventory of medical supplies, skincare products, and equipment

• Assist in HR functions: staff onboarding, rota planning, and training coordination

• Handle billing, invoicing, and payment processing with accuracy and discretion

• Ensure full compliance with health, safety, and patient confidentiality standards

• Manage client communication and front-desk support with a warm, professional approach

• Collaborate on marketing campaigns and promotions

• Support product and service sales, including aesthetic packages and skincare retail

• Track and manage client feedback, contributing to continuous improvement initiatives

Requirements & Skills:

• Prior experience in a similar administrative role within aesthetic, beauty, or medical clinics

• Strong organizational, multitasking, and problem-solving abilities

• Proficient in clinic management software and Microsoft Office Suite

• Excellent verbal and written communication skills

• Fluent in English; Russian language skills are a plus

• Knowledge of patient confidentiality protocols

• Self-motivated, service-driven, and able to thrive in a fast-paced environment
