Job Title: Clinic Administrative Coordinator
Job Description:
We are seeking a dedicated and well-organized Clinic Administrative Coordinator to support the smooth and efficient daily operations of our aesthetic clinic. Reporting directly to the Clinic Manager, this role plays a vital part in ensuring exceptional client experiences, maintaining administrative accuracy, and supporting staff coordination.
The ideal candidate will be proactive, professional, and highly organized, with prior experience in a similar setting—preferably within an aesthetic, beauty, or medical clinic.
Key Responsibilities:

Manage daily clinic operations including appointment scheduling, client record management, and staff coordination

Maintain and update clinic management software and patient databases

Oversee inventory of medical supplies, equipment, and retail skincare products

Support HR tasks including staff scheduling, onboarding, and training coordination

Handle billing, invoicing, and payment processing

Ensure compliance with health, safety, and patient confidentiality regulations

Provide exceptional client service and clear, courteous communication

Assist in the execution of marketing campaigns and clinic promotions

Contribute to the sales of skincare products and aesthetic service packages

Track client feedback and assist in service quality improvements
Required Skills:

Previous experience in a similar administrative role, preferably in a medical, aesthetic, or beauty clinic

Strong organizational and multitasking abilities

Proficient in clinic management software and Microsoft Office

Excellent interpersonal and communication skills

Discreet, with a strong understanding of patient confidentiality

Self-motivated, proactive, and solution-oriented

Fluent in English; knowledge of Russian is a plus
