ENGIE is looking for an Administrator to join the Operations team based in Dubai. Reporting to the Site Manager, this full-time role involves providing accurate and timely administrative support within the Facility Management department. The Administrator will handle service requests, coordinate with clients, tenants, and landlords, manage maintenance jobs, prepare quotations, and ensure smooth operations within the team. The role also involves handling petty cash, preparing monthly summaries, tracking scheduled services, and maintaining accurate records.
Key Responsibilities:

Attend to service requests from clients, tenants, landlords, etc., through phone calls and emails regarding maintenance services.

Communicate with clients, tenants, landlords, etc., to schedule and confirm appointments.

Prepare and send quotations to clients for approval.
-
Coordinate with the supervisor to arrange team members and transportation for job interventions.

Follow up with technicians on job interventions and close completed interventions in the system.

Handle petty cash for maintenance work.

Prepare monthly summaries for additional work and submit to the Accounts Department with supporting documents to raise invoices.

Keep track of received and pending payments.

Track and coordinate scheduled PPM (Planned Preventive Maintenance) services with clients.

Handle correspondence, filing, and other miscellaneous administrative tasks.

Qualifications:

Experience:

3 to 4 years of experience in an administrative role.
