Consulum, a leading advisory firm, is currently seeking a proactive and detail-oriented Administrative Officer to join their team in Dubai on a 6-month maternity cover contract. This is a full-time, on-site role ideal for professionals with substantial experience in administrative operations, UAE visa processing, and business travel management.

The successful candidate will support daily office operations, manage administrative workflows, and handle visa-related documentation for employees and their families. This opportunity is well-suited for someone who thrives in fast-paced, professional environments and is looking for a short-term role with meaningful responsibility.

Key Responsibilities:

• Handle document attestation for visa-related paperwork (e.g., birth/marriage certificates, academic degrees)

• Manage all aspects of UAE visa processes, including applications, renewals, and cancellations

• Support with Emirates ID, labor card, and legal documentation processing

• Liaise with Freezone authorities (DWTC) and ensure compliance

• Maintain accurate visa records in BambooHR and manage timely renewals

• Coordinate and oversee travel and accommodation logistics for staff

• Provide after-hours support for urgent travel needs

• Manage company subscriptions and general office administration

Requirements & Experience:

• Minimum 5 years of experience in a similar administrative role

• Proven experience in managing diaries across multiple time zones

• Strong knowledge of UAE visa regulations and Freezone processes

• Prior experience in handling confidential information and legal documentation

• Previous work experience in an agency is an advantage

• Ability to manage fast-paced tasks and multi-functional responsibilities

Skills Needed:

• Excellent communication skills in English (verbal and written)

• Strong organizational, decision-making, and multi-tasking abilities

• Advanced proficiency in Microsoft Outlook and general IT tools

• Attention to detail and confidence in independent task execution

• Team player with the ability to also work independently
