Job Title: Administrative & Finance Coordinator
Job Description:
We are seeking a highly organized and detail-oriented Administrative & Finance Coordinator to support our operations by managing financial tasks, business license renewals, and employee documentation. This role is ideal for candidates with strong coordination skills and a proactive attitude toward administrative efficiency.
The successful candidate will play a critical part in maintaining accurate financial records, ensuring timely license and visa renewals, and supporting onboarding processes — all while collaborating across departments to keep operations running smoothly.
Key Responsibilities:
Financial & Administrative Support:

Monitor and reconcile billing records, reviewing returned or canceled orders for financial accuracy.

Verify incoming payments via bank transfer, POS, and cheques, coordinating closely with the finance department.

Follow up on outstanding customer payments and confirm order dispatch status with the warehouse.

Cross-check physical billing documents with sales notes to validate submitted payments.
Business License Management:

Manage renewals of business licenses for all store locations, ensuring submission at least one month in advance.

Coordinate and submit renewal applications for exterior store displays, ensuring compliance and timely processing.
Employee Visa & Onboarding:

Track work visa expiration dates and initiate renewal procedures at least one week before expiry.

Collect necessary documents for new hires and facilitate their visa application process.

Maintain a well-organized archive of employee records and related documentation.
Qualifications & Skills:

Educational Requirement: Associate degree or higher in Administration, Finance, or a related field.

Experience: Minimum 1 year of experience in finance or administrative support roles preferred.

Software Proficiency: Skilled in Microsoft Word, Excel, and general office software.

Key Strengths: Strong attention to detail, high level of responsibility, and effective in coordinating with multiple departments.

Language: Fluent in English (written & spoken); Arabic is an advantage.
