Black Box, a global leader in technology solutions and IT infrastructure, is hiring an Administrative Coordinator in Dubai. This is a full-time, on-site role supporting the Field Service Operations (FSO) of North America Commercial Services. The position involves clerical and administrative support to leadership, data management, project coordination, and document handling, ensuring efficient internal processes and professional client service delivery.

Key Responsibilities:

  • Provide administrative support to FSO management, including data collection, entry, and distribution

  • Maintain confidential documents and organize electronic/hard copy records

  • Create and distribute progress reports for internal projects

  • Coordinate internal schedules, meetings, and travel arrangements

  • Track project deadlines and support timely completion of tasks

  • Support compliance with internal policies and external regulations

  • Assist in planning off-site meetings and managing appointments

  • Ensure accurate and efficient document handling, including scanning, labeling, and filing

  • Develop strong internal and external stakeholder relationships

  • Participate in process improvement initiatives to enhance client service delivery

  • Achieve performance targets related to administrative KPIs

Requirements:

  • High school diploma required; Associate degree in Business Administration or related field preferred

  • Minimum 2 years of experience in administrative or coordinator roles

  • Strong organizational and multitasking skills

  • Ability to handle sensitive and confidential information

  • Excellent interpersonal, verbal, and written communication skills

  • Proficient in MS Office Suite, SharePoint, and cloud-based systems

  • Ability to adapt quickly to shifting priorities

  • Strong problem-solving and decision-making abilities

  • Ethical, reliable, and composed under pressure
